The operator does the prestart and the timesheet on a phone, offline if it has to be. The supervisor approves. The Payroll Hub then answers the one question payroll actually has β€” can I close this cycle? β€” and lists exactly what is blocking it. Corrections are allowed until the run is processed, the worker is told when they are paid, and every approved hour posts to the project ledger the same day.

Job in, technician out, invoice paid

Raise the work order against a customer from the book, price it from your own price book, and drop it on the dispatch board. The technician sees it in My Jobs, adds photos, notes and lines from the van, and marks it done. It lands in the ready-to-invoice queue, the invoice goes out on your letterhead, and receivables age it at 30, 60 and 90 days until it is paid.

Labour, plant, fuel and overhead post to one project ledger as they are approved. The Budget Overview leads with what the company is making, then where it is going, which job is bleeding and what has not been booked yet. Fuel variance shows what each machine should have burnt against what the supplier delivered, with six months of history and thresholds you can argue with.

What is a suite, and do I need all three?

A suite is a dashboard built for one kind of work. The Civil Suite runs a civil contractor: timesheets, prestarts, crews, payroll, job cost and compliance. The Trade Pack runs a trade business: work orders, dispatch, invoicing and receivables. The Tender Portal, coming in 2026, runs AI-assisted takeoffs from tender drawings. They share one login, one team and one bill, and you only pay for the suites you turn on.

Can a trade business use the Trade Pack without the Civil Suite?

Yes. The Trade Pack is $29 a month as an add-on to any Subgrade plan, and a trade business that never runs civil work can take it on its own. Standalone workspaces see the Trade Pack and the shared account pages only. Get in touch and we will set it up.

Can one person work in two suites?

Yes. Roles are grouped by suite and a member can hold more than one, so an office manager can run civil payroll and chase trade invoices from the same login. Everyone else sees only the suites their roles reach, and the suite switcher in the sidebar only lists what they can open.

When is the Tender Portal available?

It is in build now, starting with stormwater drainage takeoffs, and opens in 2026 on prepaid credits with no Civil subscription required. Request information and we will let you know when it is ready to try.

Can we customize prestart checklists for different machines?

Absolutely. You can build custom checklist templates for every asset category. An Excavator can have different checks than a Light Vehicle, and you can update them instantly across the entire fleet.

What happens when an operator fails a prestart?

It instantly alerts the workshop. The system creates a "Defect" ticket in the Asset Manager so your mechanics can schedule repairs. The defect stays attached to the machine's history until it is marked as fixed.

Can it handle our allowances, penalty rates, and different pay types?

Yes β€” this is one of Subgrade's strengths. Pay people hourly, on a salary, or on a day rate, with pay levels that carry their own Saturday and penalty rates. Allowances with effective dates, overtime, public holidays and rain pay are applied automatically, and the travel engine works out cents-per-kilometre for own vehicles, paid travel time for company utes, and distant-work nights away. The Payroll Hub answers "can I close this cycle?" first, a timesheet can be corrected until the run is processed, and every worker is told when they have been paid. We set your rules up during onboarding, then payroll just reviews and exports.

Do subcontractors need a login to sign SWMS?

No. Subcontractors and site visitors can scan a QR code to view and sign SWMS, Risk Assessments, and Toolbox Talks without needing a user account. You get the compliance record without paying for an extra seat.

How does the system track expired tickets?

The Competency Matrix gives you a traffic-light view of your entire workforce. You can upload licenses, set expiry dates, and get automated alerts before a worker becomes non-compliant.

We have hundreds of plant items. Do we have to add them manually?

No. That is part of our Concierge Onboarding. Send us your asset list and employee register in Excel (or even photos of your whiteboard), and our team will import and configure everything for you so you are ready to go on Day 1.

Does it work when we have no reception?

Yes. Install Subgrade to your phone's home screen and it keeps working off-grid β€” crews can complete prestarts, timesheets, shift reports, and toolbox sign-ons with no signal. Everything is saved on the device and syncs automatically the moment you're back in range. (Native iOS and Android apps are on the 2026 roadmap, but you don't need to wait for them to work in a black spot today.)

Can we track costs per project?

Every approved hour, every plant hour, every litre of fuel and every share of overhead posts to a project ledger the moment it is approved. The Budget Overview answers five questions in the order you ask them: what are we making, where is it going, which job is bleeding, what is unbooked, and what changed. Project P&L goes line by line and says why a line is losing money. Fuel variance shows what each machine should have burnt against what the supplier put in it.

How do Day Works Dockets get approved?

Supervisors create the Day Works Docket on-site with all the detailsβ€”labour, plant, materials, photos. The client can sign directly on the device screen, or the system sends them an email with a secure signature request link. Once signed, the docket is locked and archived for invoicing.

Can we customize our shift report templates?

Absolutely. The Report Builder lets you choose exactly what data to include: crew hours, plant allocations, weather conditions, quantities, site photosβ€”whatever your project or client needs. Save templates for recurring reports or build custom one-offs as required.

What happens when an operator's ticket expires?

Both the operator and their manager receive automated notifications before the expiry date. The Competency Matrix shows a visual traffic-light status (green, amber, red) so you can see at a glance who needs attention. This keeps you compliant without manual tracking.

What does the AI actually do?

It reads documents so a person does not have to rekey them. A supplier fuel invoice becomes a month of deliveries mapped to your machines and sites. A plant registration or certificate of currency fills in the asset record. Every read costs prepaid credits, every plan includes a monthly allowance, and the Usage Hub shows exactly what was spent. A person still approves every result.
